Information for Presenters
We are pleased to welcome you as a presenter at the SEFI 2026 Annual Conference. To help you prepare for your contribution, we have compiled practical guidelines for the different presentation formats: paper sessions, discussion sessions, workshops, and poster presentations. The guidelines include key information on timing, presentation formats, technical requirements, and recommendations for creating engaging and well-organised sessions.

Guidelines for Presenters – Paper Sessions
Format: 3 presentations + Q&A after eachStructure
1. Opening – The session chair will briefly introduce the session and speakers.
2. Each presentation:
- 2 minutes for setup and brief introduction
- 8 minutes for the presentation
- 5 minutes for audience questions and discussion with the presenter
3. The chair will keep the session on time and facilitate Q&A.
Technical recommendations
- Using your own laptop for slides is recommended.
- HDMI connection will be available in the room, with an adapter for USB-C. For other type of ports, please bring your own adapter.
- Consider also having your presentation ready on a USB stick as a backup, in case of technical issues.
Timing
- Please come to the room 10 minutes before the session starts.
- Please respect the strict time limits so all speakers have equal time and the session runs smoothly.
- The chair will signal when you have 1 minute remaining in your presentation.
Tips for Success
- Focus on the key contributions of your work rather than attempting to present every detail of the paper.
- During the Q&A session, engage with the audience in a clear, concise, and open manner to encourage discussion and exchange.

Guidelines for Presenters – Discussion Sessions
Format: 3 - 4 short presentations + panel-style discussionTotal session length: 55 minutes
Structure
1. Opening – The session chair will briefly introduce the session and speakers.2. Presentations – Each speaker will have:
- 6 minutes for their presentation (no individual Q&A at this stage)
- Presentations will be given back-to-back in the order set by the chair.
- The chair will moderate questions from the audience.
- All speakers participate together, responding from their own perspectives.
- The aim is to encourage interaction, comparison of approaches, and deeper exploration of the topics.
Technical recommendations
- Using your own laptop for slides is recommended.
- HDMI connection will be available in the room, with an adapter for USB-C. For other type of ports, please bring your own adapter.
- Consider also having your presentation ready on a USB stick as a backup, in case of technical issues.

- Be prepared to respond to questions not only about your own work, but also about how it relates to others in the session.
Guidelines for Presenters – Workshop Sessions
Format: Interactive, hands-on activities with active participant engagement
Total session length: 60 minutes
Ethical Clearance
Please note that if you intend to collect research data during the workshop, you are required to obtain ethical clearance in advance. Information about data collection must be clearly stated in the workshop abstract and presented at the entrance of the room, and all participants must be informed again at the beginning of the workshop. If you have any additional questions regarding this, contact us at sefi2026@fel.cvut.cz.
Preparation
- Check your workshop room in advance to get familiar with seating arrangement, technical facilities, and available space.
- Available materials: Paper, pens, markers, sticky notes, and flipchart paper will be provided upon request. If you require anything else, please bring it with you.
- We can provide printing in A4 and A3 formats if needed.
- Take a moment to review your workshop plan so that the activities flow smoothly and fit comfortably within the 1-hour slot. Remember to allow time for setup, transitions, and discussion, so participants can fully enjoy and benefit from the experience.

- If you use slides, bring your own laptop. HDMI connection will be available in the room, with an adapter for USB-C. For other type of ports, please bring your own adapter.
- Consider also having your material ready on a USB stick as a backup, in case of technical issues.
After the conference
Guidelines for Poster Presenters
Poster Format and Design
- Size: Posters are recommended be of size A0 (portrait orientation).
- Logo: Please include the SEFI logo on your poster. You may also include the conference logo
- Format: Posters must be printed as one complete sheet – they may not be assembled from smaller sheets.
Poster Preparation and Printing
Please print your poster and bring it with you to the Conference. No poster printing service is provided by the organizers.
Printing
If you wish to have your poster printed in Prague, you may contact the company TOMOS directly at tomos@tomos.cz.
1. Send an e-mail to tomos@tomos.cz and request the possibility of printing a poster at the SEFI 2026 conference.
2. TOMOS will then ask you to provide the documents in the appropriate format.
3. After completing the order, you will arrange payment directly with Tomos.
Please indicate in the order subject that the poster is for the SEFI 2026 conference! All communication and invoicing are handled directly with the company. Your ordered products will be delivered to the congress venue Czech Technical University in Prague – Faculty of Electrical Engineering, where they will be available at the registration desk on Monday 7 September 2026.
Please make sure to send your file well in advance – latest by 31 August 2026. Posters must be in A0 format (1189 × 841 mm), submitted as a high-resolution PDF with 3 mm bleed margins (see What is Full Bleed Printing). The text, illustrations, etc. should be big enough to be read from a distance of 1.5 m, and the message of the poster should be clear and understandable.
If you want your order to be available at the congress site on Monday 7 September, you must place your order by Monday 31 August 2026, as described above.
The price for one A0 poster is 43 EUR including VAT and shipping to the conference venue.

Display
- Posters will be displayed for the entire conference: Monday to Thursday.
- Your poster should be set up on Monday morning and remain in place until the end of programme on Thursday.
Pitch Presentation in Plenary
The authors of accepted idea market presentations and authors who selected “Poster & Pitch” presentation format are expected to prepare a short video presentation of a maximum length of 30 s, which will be presented during the plenary poster pitches. Poster presenters are expected to be present at the stage in the main auditorium during the Poster Pitches.
To ensure that a short video presentation can be displayed on the screen during your pitch, please send a video file (MP4, AVI, MOV or MKV) no later than Wednesday, 2 September 2026 to sefi2026@fel.cvut.cz with the subject line: “File for SEFI2026 Poster & Pitch”.
During the Poster Session
Poster presenters are expected to be present at their posters during the designated poster session to discuss their work and answer questions from attendees.
